What do I need to do to rent a property?
As a tenant of ours you’ll be able to rely on us for any specific needs you may have whilst you’re with us. We’re going to walk you through the process of renting out a property with Alexanders to give you a quick overview of how the process works.
1. Register your Details
Sign up with us and tell us what you’re looking for.
2. Find a Property
There are a few things you need to consider before committing to a property such as location, bills and cost of the rent.
3. Found the One?
If you would like to apply for a property you can discuss your rental offer with one our agents. It is at this time that you will make an application by starting the referencing process. This application can only begin once the tenant referencing fee has been paid.
4. Administration Fee
The tenant is liable to pay an administration fee of £240 (inc VAT) payable by the 1st tenant and £50 (inc VAT) for each additional tenant. This cost covers the viewing of properties, consideration of the application, completing the referencing process and preparing documentation relating to the tenancy.
The administration fee is non-returnable in the event you may not meet the referencing requirements or if the tenant withdraws the application before completion. If due to unforeseen circumstances the landlord withdraws the property from the market then the fee would be refunded, less any specific costs we have already incurred. If the property was withdrawn Alexanders cannot accept any liability for any costs or inconvenience suffered by the applicants.
5. Signing the Tenancy Agreement
It is important that you read your tenancy agreement and understand all of the clauses in it. All adults will be named on the tenancy agreement and will be severally and jointly liable for the property.
When your references are complete we will contact you to arrange a time and date for you to sign the tenancy agreement. All tenants named on the agreement must be present to initial and sign the agreement prior to entering the property. Once you and the landlord, or their agent, have signed the tenancy agreement, you are legally committed.
A deposit, usually equivalent to one months rent + £100 (minimum) is held for the duration of the tenancy in case of any dilapidation’s attributed to the tenant, at the end of the tenancy. Alexanders are a member of The Dispute Service (TDS) and will hold and protect your deposit. All monies must be paid in clear funds at the time of signing the tenancy agreement.
If the property is managed by the landlord your deposit will be protected by one of the three deposit schemes licensed by the government; The Tenancy Deposit Service (TDS), The Deposit Protection Service Ltd (DPS) or My Deposits Ltd (TDSL). Prescribed Information relating to the relevant scheme will be provided with your tenancy agreement.
7. Initial Payment
The first rental payment and deposit must be paid in cleared funds no later than the signing of the tenancy agreement. Please note we cannot accept credit card payments for the initial rent and bond payment.
8. Subsequent Rent Payments
All further Rent payments after the first initial payment must be made by standing order and the appropriate form will be given to you upon completion. Standing order requests to your bank can take up to two weeks to process. Please check with your bank that the standing order has been set up correctly before your rent is due. Please note this isn’t a direct debit and only you can cancel this order.
9. Property Management
The landlord, their representative, or we will be managing the property on a day to day basis. Where the property is managed by Alexanders we will use a professional inventory company to conduct a full photographic inventory as a log of all the items and condition of the property. We will endeavor to give this document to you on move-in day. You should check the document and return to us with any additions or queries you wish to make within 5 working days.
Where the property is managed by Alexanders we will take meter readings and notify the relevant utility companies of your tenancy commencement. The television licence, telephone and cable TV charges are your responsibility.

Alexanders conduct regular inspections on all managed properties which will be arranged with at least 48 hours notice.
13. Renewal of Tenancy
If you wish to renew your tenancy agreement at the end of your tenancy period, and subject to the landlords agreement, we will draw up the appropriate documents at a cost of £90 inc VAT
14. Early Termination
If a tenant wishes to vacate the property prior to the end of the fixed term, and the landlord agrees to an early release then the tenant will remain liable to pay rent until the term expires or the property is re-let whichever is earlier. Should the property be re-let during the fixed term the tenant will also be responsible for the costs incurred by the landlord for setting up the new tenancy.
15. Tenant Swaps
If during the tenancy a tenant wishes to move out, and subject to the landlords agreement, you find a replacement tenant to take your place, once the new tenant has successfully passed the referencing procedure we will draw up the necessary documents. The outgoing tenant and the remaining tenant/s will pay a fee of £240 (inc VAT) and the replacement tenant will pay a fee of £50 (inc VAT)
You will be required to serve a minimum of one months written notice should you wish to vacate the property at the end of the fixed term.
